Qonda User Data Deletion Instructions

1. Who can request deletion
Individuals who have interacted with a Qonda-powered agent or meeting assistant may request deletion of eligible personal information associated with those interactions. Requests may be made by candidates, employees, meeting participants, or other affected individuals. In some cases Qonda processes information on behalf of an employer or another customer, which may need to authorize or handle the request.
2. Channels covered
Requests can relate to interactions through WhatsApp, Instagram, Facebook Messenger, TikTok, Microsoft Teams, Slack, web chat, email, and inbound or outbound telephone calls. Meeting services may include Zoom, Microsoft Teams, Google Meet, and other supported conferencing platforms.
This includes AI meeting assistants or note-takers that join, record, transcribe, summarize, or analyze meetings, where enabled.
3. Types of information
Depending on the service used and configuration, requests may cover:
- Names, contact details, user IDs and account/channel identifiers.
- Chat messages, emails, call logs, call audio recordings and transcripts.
- Meeting audio/video recordings, transcripts, summaries, notes, action items and AI-generated analyses.
- Resumes, application answers, assessments, attachments and recruitment or onboarding records.
- Related metadata and linked records retained in Qonda-controlled systems.
4. How to submit a request
Email privacy@qonda.ai with the subject: ‘Qonda User Data Deletion Request’. State that you want your personal information deleted. Include your name, the employer or organization involved (if known), the channel used, the email address or phone number associated with the interaction, and—if applicable—the approximate date of a call or meeting.
Do not email passwords, government ID documents, or sensitive records. We may ask for limited additional information through a secure process if needed to verify your identity or locate records.
5. How requests are handled
We will acknowledge and evaluate the request, verify identity when necessary, locate relevant records, and determine whether Qonda or the relevant customer controls the data. We will delete eligible information under Qonda’s control or coordinate with the customer where required, and communicate the outcome or lawful restrictions. Requests will be processed without undue delay and within applicable statutory deadlines.
Deletion may not be immediate across backups, archives, and authorized integrated systems; any remaining copies are handled under applicable retention and security controls. Where data has been sent to an employer’s ATS, HRIS, email, or another system, that organization may need to address copies in its own systems.
6. Third-party platforms
Deleting data from Qonda does not automatically remove information independently held by WhatsApp, Instagram, Facebook, TikTok, Slack, Microsoft Teams, Zoom, Google Meet, email providers, telephone networks, or the employer. Users may also need to use those providers’ privacy tools or contact the relevant organization.
Blocking an account, disconnecting an app, or deleting a chat on a third-party service does not necessarily delete information already transferred to Qonda.
7. Exceptions
Some data may be retained where required or permitted by applicable law, including security, legal claims, compliance, and legitimate retention obligations. If a request cannot be fully completed, we will explain the reason when permitted.
